Final exam requests for Spring 2024 are due March 29th

If any instructor in your department is teaching an in-person or blended class and planning to have an in-person final exam, a Final Exam Request form must be filled out to request a classroom to hold the final exam.

This same form can also be used to inform us of any final exam changes (date/time or alternate seating), with up to five submissions per form.

The list of already scheduled final exams and common exams is available on the Spring 2024 Final Exam and Common Exam Scheduled Rooms spreadsheet.

The deadline for Spring 2024 for these requests is March 29, 2024

May/Summer 2024 updates

Please contact ocmsched@umn.edu about May/Summer classes if:

  • A class does not have a room assignment and needs one.

  • A variable credit class needs to have a set number of credits for summer 2024

  • A class with enrollment needs to be canceled.

Tip: Deleting Combined Sections

This time of year, we see many class updates, including cancellations. Remember, if you cancel a class that is combined with other classes, the date, time, and instructor information will be deleted on all of the class sections in the combination. To avoid this, uncombine the class first, then cancel the class. Follow this guide to delete a combined section class from a combination, before you cancel a combined section class.

Schedule Print box

Found on the UMN CCS Schedule Of Classes page, the Schedule Print box, when checked (which is the default), means that the class section is viewable in the Class Schedule. When that box is not checked, a person cannot see the class section in the Class Schedule. Appropriate uses for unchecking the box are:

  • Study Abroad class sections

  • College in the School (CIS) sections

  • Tentative sections

Inappropriate uses for unchecking the schedule print box:

  • Slowing down enrollment

    • Instead: use “stop further enrollment”

  • Canceling the class

  • Hiding a class the department does not intend to offer

    • Instead: cancel the class.

If the schedule print box is unchecked, we always assume the class sections do not need classrooms.

  • A class does not have a room assignment and needs one.

After financial aid has been disbursed, the number of credits for a class cannot be altered.

Make final changes to spring 2023 classes by Monday, January 9

It is imperative to make final changes to spring classes as soon as possible, but no later than Monday, January 9, 2023. Late class changes can negatively impact students' financial aid eligibility, retention, and degree progress. It is the department’s responsibility to make changes prior to this deadline.

After January 9, Academic Support Resources (ASR) will formally review each class change requested. Many changes are not directly accommodated after students are enrolled and financial aid has been disbursed.

Instructor information on classes

Many emails are sent to instructors before and during a semester. These targeted emails are usually sent to the instructor(s) of a class listed in CCS. We have heard back from some instructors who have retired that they, understandably, no longer want to receive emails.

As a reminder, instructor information does roll forward in CCS, and we rely on our schedulers to keep this information current. Just as you are able to add instructors to a class section, you also are able to delete instructors just as easily. Please take a moment to review your classes in CCS and make adjustments to the instructor information as needed.

Class Permission insights

With all of the virtual classrooms for spring 2021, we expect some instructors to give permission to students to register for a full class. Permission numbers, however, do not override a closed class unless they have been modified to do so. Here are some helpful tips and reminders regarding Class Permissions:
  • Permission Numbers are created to override Requisites, Consent, and Time Frame (to register during the 2nd week of term).
  • Individual permission numbers can be modified to override a Closed Class.
  • Instructors do not have access to modify permission numbers.
  • Department schedulers and some student services staff do have access to make these updates on the Class Permissions page in PeopleSoft.
For more information, check out these user guides from SRHelp@umn.edu.

Class change communications to students

Academic Support Resources (ASR) is considering different options for keeping students informed when changes happen to their schedules between when they register and when those classes begin. We’ve heard from students who want to know about changes to:
  • instructor information
  • meeting day(s)/time
  • meeting location of a class
  • class format (e.g., completely online to in-person)
We would like to hear from you about the work around class changes after registration begins for a semester (when they are requested, how they are completed). When you have a moment, please fill out this survey.
